Worksheets

  1. On the main page within the Budget feature, use one of the Search options in the Budget to Prepare for Next Year section to view your worksheets or line items.

  2. Click on the worksheet for which you want to view the actuals.

  3. From the line item Actual column, click on the amount for which you want to see the actuals. The Actuals window appears.

    Note

    If no historical amounts exist, there is no link available.

Proposed Budget Preparers enter and update budget amounts. If you are not assigned to this role in J1 Desktop Budget, you cannot fill out worksheets. For more information, contact your Module Manager or IT Department.

  1. On the main page within the Budget feature, use one of the Search options in the Budget to Prepare for Next Year section to view your worksheets or line items.

  2. Click on Fill out & submit this worksheet or the worksheet name.

    Note

    Worksheets awaiting preparation are indicated with the Fill out and submit icon.

  3. From the line item, click on the budget amount or Edit  icon for which you want to enter budget amounts. The Line Item Detail window appears.

  4. In the This request column, enter the budget amount being requested.

  5. If historical amounts exist, they appear in the right-hand column. You can copy the historical amount by clicking the Copy this link. The historical amount appears in the This Request column.

  6. To determine how the amounts will be distributed, select from the following Allocated drop-down options:

    • Evenly distributes the budget amount equitably across the months or quarters

    • Up Front places the budget amount in the first month or quarter.

    • End places the budget amount in the last month or quarter.

    • Manually allows you to type in the budget amounts.

  7.  If you want to enter a reason for the budget amount, use the Justification column.

  8. Click the Save button. The Line Item Detail window closes and the budget request amount is displayed in the This request column.

  9. Once all the worksheet amounts have been entered and the worksheet is ready for review, click the Submit for approval link. The worksheet is sent to the Proposed Budget Approver for review.

Proposed Budget Preparers submit worksheets for review. If you are not assigned to this role in Budget, you cannot submit worksheets. For more information, contact your Module Manager or IT Department.

  3. To review the budget amounts, click the link in the Budget column.

  4. To review any previous budget amounts, click the link in the Actual column.

    Note

    The Change column displays the percentage of increase or decrease between the current budget request and previous budget actuals.

  5. Click the Submit for approval link. The worksheet is sent to the Proposed Budget Approver for review.

Proposed Budget Approvers review and approve or deny submitted worksheets. If you are not assigned to this role in J1 Desktop Budget, you cannot approve worksheets. For more information, contact your Module Manager or IT Department.

  2. Click on the worksheet you want to approve.

  3. To review the budget amounts, click the link in the Budget column.

  4. To review any historical budget amounts, click the link in the Actual column.

    Note

    The Change column displays the percentage of increase or decrease between the current budget request and previous budget actuals.

  5. Click the Approve button. The worksheet is approved.

    Note

    If a worksheet has component worksheets, the component worksheets must be approved before the master worksheet can be approved.

Proposed Budget Approvers review and approve or deny submitted worksheets. If you are not assigned to this role in J1 Desktop Budget, you cannot deny worksheets. For more information, contact your Module Manager or IT Department.

  2. Click on the worksheet you want to deny.

    Note

    Worksheets awaiting evaluation are indicated with the Review and approve icon.

  3. To review the budget amounts, click the link in the Budget column.

  4. To review any historical budget amounts, click the link in the Actual column.

    Note

    The Change column displays the percentage of increase or decrease between the current budget request and previous budget actuals.

  5. Click the Deny  button. The worksheet is denied.
